Association Management Services
Homeside Properties, Inc. offers a variety of services to our homeowners, Board of Directors and the vendors who work with us. Homeowners may access important information about their account, pay assessments online, view association documents and more! Board members may review financial statements, board minutes, agendas, etc. on-line. Homeside Properties, Inc. provides:

Financial Services

Assessment Collections
Prepare all billings and process all assessment dues promptly into an insured trust account . Additional special assessment and reserve assessment accounts will be processed, collected, & forwarded as directed by the Board of Directors.
Process Delinquent Accounts
Manage and collect all late fees & special assessments as required. Submit to Board of Directors a monthly Aged Receivable Report for each homeowner .
Monthly Bills
Invoice and process all monthly expenditures based on a pre-approved schedule. Provide monthly Invoices Report and Work Order Reports to the association's treasurer.
Lien Filings
Will coordinate with association's attorney, furnish necessary documentation as directed by the Board .
Insurance Requirements
Will collect from all contractors and vendors all necessary insurance documentation to safeguard against possible association liabilities. Maintain insurance policies for the Board of Directors, Management Company and the Association as deemed necessary.
Financial Reports
Prepare on a monthly, quarterly and annual basis financial statements including Balance Sheet (monthly), Cash Flow (monthly), Income Summary (monthly), Revenue and Expenses (quarterly), Budget Variance (quarterly).
Annual Budget
Assist Board of Directors in preparation of annual budget. Provide Twelve Month Budget (annually), Twelve Month Budget and Actuals (annually), Twelve Month Budget And Actuals Worksheet (annually).
Tax Filings
Gather necessary information and pay all required IRS, state, & local taxes and filings. Prepare if required IRS 1099 tax forms for all independent sub-contractors. Review and pay all necessary real estate taxes for association's common areas and/or amenities.
Cash Management of Reserve Account & Operating Account
Manage and administer all reserve accounts, review warranties, specs and provide separate Income Summary (monthly) and Balance Sheet Reports (quarterly) for each account.
Capital Reserve Analysis
Assist in determining required funds needed to perform replacement & repair of Association property. Provide Reserve and Replacement Life-Cycle Analysis Report.

Organizational Services

Organize Meetings
Selecting and reserving a suitable site; preparing the agenda, budget review, voting roll, & all other documents as required. Provide information to the Board and review agenda and budget prior to board meeting. Send out required notices to all members as required by law.
Board Meetings
Manager will attend Board meetings as agreed, including mailing of notices, preparing agenda as directed, record minutes etc .
Records and Files
Homeside Properties, inc. will maintain all association records, documents, financials, correspondence, etc.
Serve as Registered Agent
Receive & forward Association mail.
Education and Training
Provide existing and newly appointed Board members with friendly and informative literature concerning the roles of Directors.
Monthly Management Report
Provide for distribution to the Board prior to board meetings. Report to include list of correspondence letters sent, list of violations of architectural or covenants, list of deferred maintenance to association property and membership requests.
Coordinate Professional Services
Select, verify and submit to Board of Directors .
Obtain insurance quotes and submit to the Board of Directors for review .
General Correspondence
Prepare all general Association correspondence and distribute accordingly.

Member Services

Members Directory
Provide Member Directory to the Board of Directors. Prepare Voting Roll for each annual meeting and other special meetings held by the Board of Directors requiring voting rolls.
24 Hour Emergency Phone Access
Provide all members with a 24-hour access number for association emergencies. Numbers provided in the welcoming kits.
Set-Up Committees
Organize and set-up various committees (social, landscaping, etc.) to assist Board of Directors.
Clubhouse & Pool Reservation
Provide reservation schedule, collect reservation deposits, verify condition of clubhouse before and after usage.
Provide Status Letters, Questionnaires and Association Account Statement report.

Property Services

Maintenance and Inspections
Manager will inspect and be on-site on a quarterly or other agreed upon basis as needed to evaluate contractor performance (e .g. Pool & Landscape,etc), homeowner violations, architectural control violations, inspection of lighting and report findings to the board of directors.
Periodic Inventory of Association Property
Manager will prepare inventory of Association property and make asset maintenance recommendations.
Architectural Rules / Covenant Enforcement
Manager will prepare violations/remedy notice letters, collect architectural modifications or change requests and make recommendations to Architectural Committee and Board of Directors.
Bidding / Contracting / Specification Preparation
Manager will prepare (or have prepared by qualified professional), three (3) or more bids/ specifications as required by Board of Directors, for landscaping, pool, and other services. Verify service provider's references and insurance. Submit bids and ensure service is carried out correctly.
Work Orders
Manager will prepare and coordinate work orders at the direction of the Board of the Directors.
